Accounticus does your bookkeeping. For that we need data about your business. Here you read which data, why we use it and what your rights are.
Who is responsible?
AFROEAT CommV, company number BE 0757.679.470, Nijverheidsstraat 67 PB 7, 9890 Gavere. We are the data controller for the data you put in Accounticus.
Which data do we use?
• Your business details: name, VAT number, address, e-mail, phone. • Your books: invoices, receipts, contracts and the amounts on them. • Your bank transactions, if you connect your bank account: date, amount, counterparty and message. • Your messages to the assistant, on the website or on WhatsApp, and the photos you send. • Technical data: login details, time of use, error messages.
What do we use it for?
To keep your books, prepare your VAT return, send and receive your invoices over Peppol, and answer your questions. We do not use your data for advertising and we do not sell it.
Connecting a bank account
If you connect your bank account, this goes through Enable Banking Oy (Finland), a licensed account information service provider under PSD2. We only see your transactions and your balance. We cannot make payments. You give consent at your bank itself and you can withdraw it at any time, at your bank or with us.
Smart assistant
The assistant reads your documents and messages with the help of an AI model from Anthropic. That model only receives what is needed to handle your question or document. It does not train on your data.
Who do we share data with?
Only with services we need to work: • Enable Banking for bank transactions. • The Peppol network to send and receive invoices. • Meta (WhatsApp) if you talk to us on WhatsApp. • Brevo for e-mails such as a password reset. • Anthropic for the smart assistant. • Our hosting partner in the European Union. We never share more than needed. Authorities only get what the law requires, for example your VAT return when you file it.
Where is your data stored?
On servers in the European Union. Some services above may process data outside the EU. Then the European Commission's standard clauses apply.
How long do we keep it?
As long as you have an account. Belgian law requires you to keep accounting records for ten years; we follow that period. Messages to the assistant are kept until you delete them or close your account.
Your rights
You may view your data, have it corrected or deleted, or ask for a copy. You may stop your bank connection at any time. E-mail us for this. Not satisfied? You can complain to the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels.
